Functional Specifications :
The specifications listed below outline the scope of work to be completed as part of version 1.0 of the School Management System application, hereinafter called the System
These specifications will form the blueprint from which construction will proceed. Alterations to the scope of work defined in this document may result in altered timeframes for completion and altered costs.
Administrative area:
Security:
• Create & View User :System has multi user facility. It provides one admin user by default and admin can create one or more operator user as per requirement.
• User Authentication :Admin can restrict to its users to access of particular pages as per their works.
Master Settings :
System has its master setting panel to customization of software as per requirement.
- • Authority :Can create/modify or remove a authority.
- • School :Authority can add/modify or delete one or more schools.
- • Session :Authority can create and define the starting and ending of the school session.
- • Department :It provides the facility to create different departments for the school. For eg. Finance, library, inventory department etc.
- • Week Days : It provides to assign the week days for the particular class / course.
- • Stream : Here authority can add or remove the different streams for students.
- • Class : Authority can create the class and assign the cost and validity of the class.
- • Sections :Create one or more sections for the class.
- • Period :Create and assign the timing of the period.
- • Subject :Add or remove the name and type of the class/course.
- • Subject in class :Can assign the subject for the particular stream and class.
- • Period in class :Can assign the period for the particular stream and class.
Fee Settings:
System provide the facility to add different fee structures for different class / course by different modes of payment.
Member:
System provides facility to store information of Student, Parent and Employee for different purpose and data will be entered by different ways.
Student entry: There are two parts to enter student data:-
• At the time of admission authorized staff will put some basic information and their physical form number of student and print admission receipt with payment details and his Roll No. This process will provide for fast entry at the time of congestion.
• Using Physical form number authorized staff will update complete information of student and it’s called final student form submission.
Parent entry: There are two ways to enter parent details of student:-
• At the time of final student form submission.
• System will provide facility to enter/modification of parent information by putting student roll no in interface by authorized staff.
Employee entry: System will provide interface to enter employee information with their job specification.
Academic:
System will provide facility to manage time table of teachers and classes. Admin or authorized user can assign periods to teacher. This process will be section wise.
I.e. if 9th class has 5 sections and school will run this in 7 period for teaching 7 subject then by this software each period will be assigned for particular teacher and teacher will look his assigned period for same days and after days.
System also provides the facility of taking leave request and approval for the staff members of the school.
Payment/Admission:
System will provide facility to manage different type of fee structure as per customization. Fee structure can be customized class wise and its provide facility to manage fee concession and special discount for particular student and category of student.
Admin or authorized user can define fee installment of particular class as monthly, quarterly, half yearly and yearly as per management decision. By default system will assume monthly fee installment for each class.
Fee Due Report: User can view or export list of student with their due amount month wise.
Fee Collection: User can deposit fee of student using his roll no. or searching from list and print fee deposit slip.
Payment report:
• Fee collection report in a particular date range.
• Fee due report in a particular date range.
• Monthly collection and due of fee summary.
Miscellaneous:
SMS Panel: System will provide facility to send SMS to parents, students and staff in fixed text format approved by TRAI. User can create list of beneficiary that will get SMS as per requirement and customization and send particular SMS to all beneficiary in list.
Internal Messaging: System will provide facility to communication between staff and parent, staff and staff, staff and student, student and student by internal message provided in their panel.
News Flash: Admin or authorized user can create news that will show in staff panel, student panel and parent panel as per selection.
Attendance:
System will provide facility to manage attendance of student section wise. User can assign a section to a teacher to manage daily attendance of students in assigned section. This facility will be in staff panel.
System will provide an alternate facility to manage attendance by authorized user using admin panel in case of no use of staff panel. It includes following sections:-
• Student daily attendance report.
• Student attendance report in particular date range.
• Monthly Absent report of particular student or group of student.
• Monthly attendance summary of all students in muster roll format.
Reports:
Student List:
• Search by name or roll number or by any required keyword.
• Class wise list.
• Section wise list
• Religion wise list
• Parent occupation wise list
• Caste wise list
• Stream wise list
Parent List:
• Search by parent name or parent code or mobile number or student’s roll number.
Exam:
It provides following functions:
• Can add exam or view the exams i.e. monthly, half yearly and annually exams.
• Can make the schedule and rearrange the examination schedule.
• Staff can enter the results of the student and can submit the report card.
Library
School libraries help prepare students to live and learn in a syllabus of information
• The libraries provide access to materials in all formats. It helps increase students' interest in reading, viewing, and using information and ideas.
• There are many facility in library and create just like Create category,Publication,Author,Language, Library item, Quantity editing and Report
